Technical Coordination Assistant / Technical Executive Assistant

This position functions like Technical Executive Assistant in support of the R&D Manager for the operation of the technical function of the Company.  The Company is seeking a team player with some laboratory backgrounds and strong written and verbal communication skills.  Our aim is to provide the successful applicant an opportunity to learn the flavor business and, in due course, progress to a career utilizing this knowledge with greater involvement in the technical aspects of the business.

Duties and Responsibilities:

  • Obtain sample raw materials for R&D. Interface with Document Control.  Track and receive products.  Seek assistance from Purchasing, as deemed necessary
  • Maintain inventory of laboratory supplies and work with Purchasing/Accounting, based on every 2nd week to ensure replacement is delivered in a timely manner
  • Prepare documentation. Use of Microsoft Office Suite and Sage ERP Software.  Maintain records in good order and purge outdated documentation.  Assist in the writing and accuracy of emails to be transmitted to 3rd parties
  • Coordination and progress reports for studies in studies in Sage S3 software. Communicate with Account Managers and/or customers.  This assistance may include typing Sample Advice, Technical Bulletin
  • Assist in the preparation of Test Methods/SOP’s covering all aspects of the laboratory cleanliness, hygiene and good housekeeping, safety, allergen labeling and storage, consolidation of samples, discard of old stock, replacement of inventory, etc. Be aware of any problems associated with compliance and bring these to the attention of the Technical Director and R&D Manager.  Monitor both efficacy and compliance.  Discuss and update methodology
  • Prepare and provide Human Resources with weekly attendance and special communications relating to the Lab Team. Circulate and/or post information from HR

Job Requirements

Technical Qualifications:

  • No degree needed, however 2 years of relevant experience working in a laboratory environment is necessary
  • Good memory, technical administrative background, strong communication, interpersonal, and analytical skills
  • Good problem solving and trouble-shooting skills with the ability to exercise mature judgment Adaptable to daily change in priorities and continuous improvement of lab functionality, with ability to handle multiple projects simultaneously
  • Ability to work independently as well as in a team-oriented setting
  • Physical Requirements: Ability to stand for prolonged periods of time.  Ability to withstand various odors and smells.  Light to medium lifting may occasionally be required
  • Languages: French & English is a HUGE plus
