About the Role:

We are seeking an Executive Assistant to provide top-tier administrative support to our CEO and designated leadership team. This pivotal role involves managing calendars, coordinating travel arrangements, creating reports and presentations, orchestrating meetings, and handling various administrative tasks.

 

Responsibilities:

  • Calendar Management: Proficiently manage schedules, prioritize meetings, and ensure seamless coordination of appointments. Anticipate and plan for pre-meeting preparations, monitor calendars, and optimize meeting spaces efficiently.
  • Travel Coordination: Arrange domestic and international travel logistics, including flights, accommodations, ground transportation, and other essentials.
  • Reporting and Documentation: Develop, organize, and maintain reports, reporting tools, and templates. Create compelling PowerPoint presentations and communications materials.
  • Meeting Management: Plan, organize, and facilitate meetings involving multiple internal and external stakeholders. Ensure smooth execution and follow-up on action items.
  • Communication: Draft and disseminate communications on behalf of the CEO as needed.
  • Conference and Call Management: Oversee conference lines, webinars, and video conference calls, ensuring smooth operations.
  • Financial Support: Prepare expense reports and assist with invoice payments, offering necessary follow-up as required.
  • Additional Tasks: Undertake other duties as assigned, contributing flexibly to the team's success.

Job Requirements

  • 7+ years of administrative support experience, emphasizing meeting/event scheduling, travel management, and executive-level administration.
  • 3+ years of experience supporting C-suite executives.
  • Proficiency in MS Office suite, particularly Excel and PowerPoint, at an intermediate or advanced level.
  • High school diploma or equivalent qualification.
  • Strong organizational skills with acute attention to detail.
  • Excellent verbal and written communication skills.
  • Demonstrated proactive approach in anticipating needs and adapting efficiently with independent judgment.
  • Ability to work autonomously under pressure.
