Job Description

  • Payroll Administration:
  • Processing bi-weekly payroll for all FLSA categories of employees (multi-state payroll for approximately 900 employees, including unions 
  • Processing all EE master data changes, status changes in HRIS system – ADP WFN, calculating payroll adjustments, and retro payments, incentive compensation plan calculations
  • Serve as a main point of contact for all payroll related tasks
  • Administer all payroll tax –related tasks for all the companies (federal, state, local taxes, and UI tax)
  • Wage garnishment, child support, tax levies processing
  • Payroll reporting – e.g. compiling summaries of earnings, taxes, deductions, leave, disability and non-taxable wages, banking audits, multiple work site reports
  • Providing data for all internal/external audits – including but not limited to annual financial, Worker’s comp, 401k audits, non-discrimination testing
  • Preparing reports and reviewing data in a preparation for the annual bonus pay out

 

  • Benefits Administration:
  • Assisting EEs with their benefits questions/resolving issues
  • Processing benefits changes due to life events, new hire, benefits terminations,
  • Project Manager for Annual Open Enrollment process to include setting up plans in ADP HRB, plan changes, coordination with providers and approving benefits changes in ADP
  • Responsible for distribution of benefits -related disclosures 
  • Benefits eligibility files maintenance
  • Project Manager for Annual ACA reporting requirements
  • Conducts monthly audits and manages benefits plans billing
  • Billing reconciliation and processing benefits payments requests for self-funded and fully insured benefits plans
  • Working with vendors on resolving discrepancies/issues, maintaining effective relationship, monitors performance and service agreement
  • Primary support for 401k plan administration, including but not limited to making changes in contributions rate, loans payments, monitoring payroll contributions, funding bi-weekly payroll contributions, reconcile and fund annual profit-sharing contributions
  • Monitors applying 401k plans provisions regarding enrollments, eligible compensations, contributions, and others by conducting periodic internal audits; implementing corrections if necessary
  • Coordinates annual 401k audits and NDT testing by preparing reports, compiling documentation, and responding to auditors’ and TPA’s questions
  • HRIS Management:
  • Responsible for data entry and corrections in various HR systems (ADP, Etime), ensuring systems are up-to date
  • Run and distribute various reports on daily/weekly/monthly basis (e.g. headcount reports, new hire, terminations)
  • Assist employees with questions regarding system use and entry/update of personal and work-related data
  • Troubleshoot import/export process for ADP vendor file feeds and carrier connections files
  • Proactively monitors database, perform internal audits to identify missing or inaccurate data, resolving discrepancies
  • Identify critical issues, resolve and/or escalate as needed

Job Requirements

 Skills/Qualifications:

  • A bachelor’s degree and/or 7+ years of ADP payroll processing and benefits administration experience.
  • CEBS certification a plus
  • Must possess exceptional interpersonal skills and be able to handle sensitive and confidential situations and documentation
  • Experience maintaining benefits programs with vendors
  • 5+ years with ADP payroll processing and experience with HRB platform.
  • Strong understanding of local and federal DOL and employment laws
  • Payroll Excellent written and verbal communication skills
  • Proficient with Word, PowerPoint, and Excel
  • A self-directed, positive, results-oriented professional who thrives in a high-volume, fast-paced environment where constantly shifting priorities are common
  • Strong problem solving and organizational skills are required
  • A commitment to delivering accurate results with attention to detail
